How we handle your data when you request a demo, create an account, log in or visit this website.
Who we are
Horeca Menu Manager is a service of IT Live, a trade name of Aanbod op Maat, based in Maastricht (the Netherlands) and registered with the Dutch Chamber of Commerce (KvK) under number 99488299. We are the controller for the personal data that reaches us through this website. Questions about your data? Email [email protected] or call +31 85 060 4471.
What data we use
- Demo and contact form (at the bottom of the homepage): your name, email address, phone number (if you enter it), the name of your venue, the plan you choose and your message. Your request is stored in our secure customer system so we can call or email you.
- Sign-up (Start free): your company name, your name, email address, a password, the type of cuisine and the plan you choose. We use these to create your account and your venue's environment. Your password is only stored in encrypted (hashed) form.
- Log in: your email address and password, to check that it is you. After signing up or logging in, you continue in our customer portal.
- Demos: the demos work without an account. What you do in a demo (such as a test order) stays in your own browser and is not sent to us.
- Phone and email: your phone number or email address and what you tell or write us.
- Technical data: when you submit a form, sign up or log in, we use your IP address to stop abuse, spam and password guessing. Our web server also keeps a log with IP address, browser details and pages visited.
Purposes and legal basis
- Answering your question and planning a demo — because you ask us to and to enter into an agreement with you (Art. 6(1)(b) GDPR).
- Setting up and managing your account and venue on the platform — to perform our agreement with you (Art. 6(1)(b) GDPR).
- Protecting our website and accounts against spam and abuse — based on our legitimate interest (Art. 6(1)(f) GDPR).
- Visitor statistics with Google Analytics — only if you give your consent (Art. 6(1)(a) GDPR).
- Our accounting, such as invoices if you become a customer — because the law requires it (Art. 6(1)(c) GDPR).
We never sell your data and do not share it with others for their own marketing.
How long we keep data
- A demo or contact request that does not lead to an agreement: up to 2 years after the last contact.
- Your account: as long as you are a customer, then up to 12 months.
- Invoices and other data required by the Dutch tax authorities: 7 years, as the law requires.
- The web server log: up to 90 days.
Who sees your data
Your data is meant for us only. This website and our customer system run on servers within the European Union. Parties that process data on our behalf may not use it for anything else. The connection to this website is encrypted (https).
If you use Horeca Menu Manager for your own venue, we process your guests' data (such as orders) on your behalf. You are then the controller and we are the processor; we sign a data processing agreement with you for this.
For Google Analytics (see below), Google's terms and privacy policy also apply. Google may process this data in the United States; the EU-US Data Privacy Framework applies to this.
Cookies and statistics
Functional cookies: this website does not set any cookies of its own, except one that remembers your cookie choice. No consent is needed for that. The demos remember your settings (such as day or night mode) only in your own browser.
Google Analytics: only if you click Accept does Google Analytics load and do we place Google Analytics cookies. They show us how visitors use the website (for example which pages they view and whether they get in touch), so we can improve the site. IP addresses are shortened and the data is kept for 14 months. Advertising features are switched off. If you click Decline, Google Analytics is not loaded and Google places no cookies; the website works just the same.
We store your choice for 180 days in the cookie site_consent. You can change your choice at any time via Cookie settings at the bottom of every page, or right here.
We also count, without cookies, how often pages are viewed and the call or email button is clicked (without names, without IP addresses in the count and without storing anything in your browser).
Your rights
You can always ask us which data we hold about you (access), have it corrected or have it deleted. You can also object to the use of your data, ask us to restrict its use or ask for a copy to take with you (data portability). If you have given consent for something, you can withdraw it at any time.
Send your request to [email protected]. We will respond within one month. To make sure the request comes from you, we may ask you to identify yourself.
Not happy with how we handle your data? Please let us know first, so we can find a solution together. You always have the right to lodge a complaint with a supervisory authority, such as the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or the authority in the country where you live.
